EXECUTIVE SUMMARY
Approval of this item would award a three-year agreement to Vestis to provide uniform services for the Public Works Department. The average annual cost for furnishing, laundering, and delivering uniforms for 80 full-time employees and 20 part time employees will not exceed $38,842, including a 15% contingency. The total proposed not-to-exceed amount for the three-year term is $116,526.
BACKGROUND
Since March 19, 2019, the Public Works Department has contracted with Mission Linen Supply to provide uniform services for approximately 80 full-time and 20 part-time maintenance employees. The services include furnishing uniforms, as well as laundering and delivering them, on a weekly basis. The current agreement with Mission Linen Supply has transitioned to a month-to-month term. As such, the Financial Services Department issued Request for Proposals (RFP) #2425-002 for a longer-term partner and received three responses, listed in order of their proposed annual not-to-exceed costs, including a 15% contingency:
Vestis $38,842
Prudential Overall Supply $39,064
Mission Linen Supply $40,649
In evaluating the proposals, staff considered the firms qualifications/experience, product quality, references, and overall cost. The Public Works Department concluded the proposal submitted by Vestis, formerly known as Aramark, presents the best combination of the four evaluative criteria. The company has extensive experience providing uniform services for various types of organizations across the country, including the City of Inglewood and Los Angeles World Airports. All reference checks confirmed the company provides high-quality products with reliable service and competitive pricing.
The annual cost for providing uniform services would not exceed $38,842, including a 15% contingency. The total not-to-exceed amount for the three-year term would be $116,526, which is virtually the same as the cost of the current agreement.
COORDINATION
The Public Works Department coordinated this item along with the Financial Services Department. The City Attorney’s Office prepared the agreement as to form.
FISCAL IMPACT
The annual cost for uniform services would not exceed $38,842. The total cost for the three-year term of the agreement would not exceed $116,526. Funding for the services is available in the Public Works Department’s annual operating budget.
